Job Title: Executive Office Board Liaison
Position Location: Washington, DC
Reports to: Executive Director
Summary: The Executive Office Board Liaison serves as the primary staff support to the boards of directors of the National Gay and Lesbian Task Force Foundation and the National Gay and Lesbian Task Force Action Fund. This position works with the executive director and other staff to foster a respectful and responsive culture in staff and board working together to advance the mission of the organization. This position must respond quickly and with good judgment in a fast-paced environment and be able to handle highly confidential and sensitive information in a professional manner. As a confidential employee, this position is exempt from the union bargaining unit.
Responsibilities:
General:
- Provide all logistical support for board meetings, conference calls and committee meetings;
- Serve as the primary staff liaison to the boards of directors including routing board member questions and requests to appropriate staff members for follow up and serve as a conduit for information between staff and board;
- Ensure all new board members receive orientation materials and related materials; keep documents up to date as required;
- Understand board bylaws, policies, and procedures to ensure such protocols are known and followed. Manage board bylaws, collecting and compiling all amendments;
- Ensure board website and Task Force site board listings are up-to-date and accurate;
- Manage all board files, information and data including: multiple boards of directors contact lists, listserves, board member biographies and photos for variety of communication needs;
- Responsible for archiving of board materials;
- Perform other duties related to the board as assigned; and
- Support the executive director with special projects as assigned. Board Meetings and Committees
- Handle all logistical arrangements for three in-person board meetings per year including: securing meeting venues; communicate/negotiate with outside vendors (hotels, transportation, etc); and managing staff travel/accommodations;
- Oversee identification, compilation and timely production of all materials for board meetings including: coordinate roles of various staff, agenda development with co-chairs and senior staff; reports, reference documents, board binders; and converting documents for board website;
- Take and distribute official minutes and notes for board meetings, co-chairs calls, board executive committee meetings, and committee meetings; works with staff and board of other committees to ensure appropriate recording of minutes and notes;
- Manage board committees, including: identifying call times and setting up conference calls for all board committee meetings; sending reminders; send RSVP notices to committee chairand staff contact; takes notes and/or minutes for all standing committee calls; keep files of agendas and minutes for all standing committees;
- Maintain electronic/hard copy systems to support the board committee structure including scheduling calls, reminders, and other logistical support for committee meetings; and
- Work in coordination with other designated staff representatives to board committees.
Qualifications:
- Must be exceptionally organized and detail-oriented;
- Ability to manage multiple tasks and work independently with consistent follow through;
- Excellent writing, proofreading, editing, verbal and interpersonal skills;
- Ability to prioritize and manage multiple projects effectively under deadline;
- Ability to maintain strict confidentiality;
- Ability to maintain the highest degree of professionalism when working with others--both internal and external to the organization;
- Ability to take accurate official minutes of the boards of directors' meetings; requires exceptional listening skills and quick keyboarding;
- Ability to trouble-shoot and problem-solve;
- Ability to arrange and balance workload;
- Excellent computer skills, including expertise in MS Outlook, Word, Excel, Power Point, internet research, database applications and social networking;
- Prefer two or more years experience in administrative support and experience as an executive assistant; and
- Experience working in a multi-cultural environment where commitment to diversity based on race, ethnic origin, gender, age, physical ability, religion, sexual orientation, and gender identity and expression is an important institutional value; and ability to work crossdepartment to implement activities.
- A minimum two-year commitment is expected.
Job Title: Director of Human Resources
Position Location: Washington, DC
Reports to: Chief Financial Officer
Summary: The Human Resources Director is responsible for all aspects of human resources, including the Task Force's programs for recruiting, orientation and workplace training, and employee performance evaluation.
Responsibilities:
General:
- Coordinates the preparation and placement of notices and advertisements for open positions;
- Issues offer letters to prospective employees;
- Provides or oversees orientations for new hires;
- Maintains personnel files;
- Ensures proper implementation of personnel policies;
- Oversees compliance with state and federal laws (incl EEO/Afirmative Action, ERISA) and other relevant regulations and policies;
- Prepares required filings with federal, state and local government agencies for workers compensation, unemployment, census and similar requirements;
- Manages the employee performance review process;
- Maintains regular working knowledge of comparable compensation scales;
- Severs as primary management representative to the employee's bargaining unit and District 1199E, SEIU;
- Advises management on matters related to best practice in human resources, personnel administration;
- Receives and process reports of employee misconduct or violation of the Code of Ethics as the Task Force's Compliance Officer; and
- Coordinates staff-wide training programs on workplace conduct and other topics.
Qualifications:
- Minimum of three (5) years experience in a senior role managing a human resources or personnel function;
- Three (3) to five (5) years experience designing, implementing and managing inservice training and professional development programs;
- Extensive experience counseling employees and dealing with a diverse employee base;
- Ability to manage multiple tasks and work independently with consistent follow through;
- Excellent organizational skills required;
- Excellent writing and oral communication skills; and
- Experience working in a multi-cultural environment where commitment to diversity based on race, ethnic origin, gender, age, physical ability, sexual orientation, and gender identity and expression is an important institutional value.
